The Challenge
A large wealth management platform supporting account onboarding across multiple custodians was facing a document governance problem that simply would not scale.
Each account opening workflow relied on application templates that varied by custodian, account type, and regulatory version. The company managed documents across its own in-house trust operations, as well as current and previous versions of Fidelity and Pershing applications.
Over time, hundreds of template variations accumulated. Ensuring that signed customer documents matched the correct approved version was a manual, error-prone process. Teams relied on human review to catch differences, formatting changes, and missing fields—a task that could not keep pace with document volume.
The risk was not just operational. In a regulated industry, a mismatch between a signed document and its approved template creates real compliance exposure.
Why This Problem Is Hard
Traditional document automation focuses on extraction: pulling data out of forms. But that was not the problem here.
The challenge was validation. Confirming that each signed document conformed to the correct version of an evolving template, across multiple custodians, each with their own structure and regulatory requirements.
This required understanding document intent and structure, not just matching text or keywords.
The Solution
To address this, the company deployed a Squid AI agent designed specifically for template management and compliance validation.
Instead of treating documents as unstructured files, the agent:
- Represented each application template as a structured definition
- Tracked version changes across custodians and regulatory updates
- Compared signed documents against the correct template version
- Identified structural differences, missing elements, and formatting deviations
This shifted the compliance workflow from reactive spot-checking to proactive validation—every signed document checked against the right template, automatically.
Deployment Approach
The solution was built for enterprise financial services from day one.
The agent was deployed inside the company’s own Azure environment—not as a SaaS tool, but as a dedicated instance within their private network. This ensured that:
- Sensitive financial documents never left the controlled environment
- Security controls aligned with internal compliance requirements
- Updates followed established IT governance processes
The initial deployment focused narrowly on the core problem: template comparison and version validation. Broader document workflows would come later, once the foundation was proven.
What’s Next
With the first phase in production, the company is now training internal teams to extend the platform using Squid AI’s no-code tools, allowing operations staff to build new document workflows as regulatory requirements evolve, without waiting on engineering resources.
The goal is not just to solve one compliance problem. It is to establish a foundation for document automation that scales as regulations, custodians, and business requirements continue to change.
